What an equipment & asset register is
An equipment and asset register is the single, authoritative list of every machine, tool, utility and facility asset you maintain — each one recorded with an asset code, a description, a category and group, and a location. It is the master record that a CMMS is built around: before you can schedule a service, link a spare or log a breakdown, the asset has to exist as one clean, uniquely identified entry.

Why the register is the foundation

Walk the chain. A preventive maintenance schedule hangs tasks on assets grouped into families; if the family or meter basis is wrong, it fires at the wrong time. The spare parts BoM maps parts to each asset; if two machines share a duplicate code, spares get issued against the wrong one. Breakdown and downtime history accumulates against the asset record, and your MTTR and MTBF are computed per asset from it. Get the register right and each of these is trustworthy; get it wrong and you are computing reliability on sand.
That is the case for spending real effort on the register up front, before rushing to schedules and dashboards. It is the one dataset everything else depends on, and the most painful to clean up later once thousands of transactions have posted against messy codes.

How to build an asset code numbering system
A good asset code is short, unique and readable at a glance. The reliable pattern is segmented: an area or type prefix, a class abbreviation, then a running sequence — for example CNC-LTH-001 for the first CNC lathe. Fixed-width segments and a controlled abbreviation list keep the scheme from drifting into chaos as the plant grows. Three rules keep a numbering system healthy for a decade. First, never reuse a retired code — when an asset is scrapped, its code and history retire with it, so a new machine never inherits an old one's breakdowns. Second, keep meaning out of the volatile parts: encode class and area, not the department or owner, because departments reorganise and codes should not. Third, let the system enforce uniqueness — the register should refuse a duplicate outright rather than trust a spreadsheet and a careful human. Ranking assets by criticality (ABC)
Asset criticality — usually ranked A, B or C — scores how badly a failure would hurt production, safety, quality or cost, so that maintenance effort flows to the assets that deserve it. A-class assets are the vital few whose downtime is expensive or dangerous; C-class are the low-impact many.
To rank, score each asset on a few weighted factors — production impact (does its failure stop a line?), safety and environmental risk, effect on quality, repair cost and lead time, and whether a redundant unit exists — then band the scores into A, B and C. The ranking is not academic: it is the single input that decides how much preventive attention and how much spare inventory each asset earns.
A — Critical
Failure stops production, risks safety or is very costly. Tight preventive frequency; critical spares held in stock.
Tight PM + stocked sparesB — Important
Failure disrupts but does not halt output, or a workaround exists. Moderate preventive cadence; key spares stocked.
Moderate PMC — Low impact
Cheap, non-critical or quickly replaced. Often the rational choice is to run to failure and skip heavy PM.

Calendar vs meter / usage basis
Preventive maintenance can be triggered two ways: by the calendar (every 30 days) or by usage (every 500 running hours). Capturing a meter basis on each asset is what lets you choose the right trigger — and for hard-worked assets, usage is far more honest than the calendar.
The reason is simple: a machine that ran two shifts wore twice as much as one that ran a single shift, though the same 30 days passed. Servicing on calendar alone over-services the idle machine and under-services the busy one. So the register records a meter or usage basis — running hours, cycles, strokes or kilometres — and the PM schedule keys off actual wear.

Common mistakes to avoid
Most struggling registers fail for the same handful of reasons. Watch for these before they compound into transactions you cannot untangle.
- Paper or Excel drift. A spreadsheet copied around by email splits into versions that disagree; the register that runs maintenance has to be the one live system of record, not a file.
- No criticality. Without an ABC rank, every asset looks equal, so PM effort and spares are spread thin instead of concentrated on the machines whose failure actually hurts.
- No meter basis. Recording only calendar dates blinds you to usage, so hard-worked assets get under-served and idle ones over-served.
- Duplicate or reused codes. Two assets sharing a code, or a new machine inheriting a scrapped one's number, corrupts every spare issue and every reliability figure that keys off it.
