Maintenance records for ISO 9001 and IATF 16949 audits in India

Indian auto-component suppliers and quality-certified manufacturers do not just have to maintain their machines — they have to prove it. For an Indian manufacturer holding ISO 9001, and even more so for an auto-component supplier holding IATF 16949, the maintenance function is on the audit scope whether or not it feels like it. The standards do not ask “do you fix machines?” They ask “can you demonstrate that you plan, perform and measure the maintenance of the equipment that affects product quality — and that your measuring instruments are calibrated?” The gap between doing maintenance and being able to prove it is where nonconformities are written. This guide closes that gap.

The auditor’s real question
“Show me that the preventive maintenance planned for this critical machine was actually done, on schedule, this year — and show me the calibration status of the gauge that checks its output.”
If the answer is a technician’s memory and a diary, you have a problem. If it is a PM compliance report and a calibration recall list produced on screen, you have evidence.

ISO 9001:2015 — clause 7.1.3 and 7.1.5

ISO 9001 is deliberately non-prescriptive, but two clauses bear directly on maintenance:

Clause 7.1.3 Infrastructure. The organisation must determine, provide and maintain the infrastructure needed for the operation of its processes and to achieve conforming products and services. Infrastructure explicitly includes equipment, hardware and software. The word “maintain” is doing the heavy lifting: an auditor reads it as a requirement to have a maintenance approach for the equipment that affects conformity, and to keep records that show it is happening. The standard does not tell you to run a CMMS, but it does expect you to demonstrate planned maintenance and its results.

Clause 7.1.5 Monitoring and measuring resources. Where measuring instruments are used to verify conformity, they must be calibrated or verified at defined intervals against traceable standards, identified with their calibration status, and safeguarded. This is the calibration clause, and it is where gauges, instruments and measuring equipment are controlled — a due-and-recall discipline that behaves exactly like a preventive schedule for instruments.

IATF 16949 — TPM, spare availability, MSA and calibration

IATF 16949, built on top of ISO 9001 for automotive suppliers, is far more explicit about maintenance and is where Indian auto-component plants feel the pressure. Its maintenance-related expectations include:

The practical consequence for an Indian Tier-1 or Tier-2 supplier in the Pune or Chennai belt is that a policy binder is not enough. You must show a working preventive programme with compliance records, evidence that critical spares are on the shelf, calibration recall running to schedule, and maintenance KPIs that are measured and reviewed. Why PM compliance is the record that trips people up

There is a crucial difference between doing preventive maintenance and being able to prove compliance.
